Data Reporting
The Registrar's Office has standard data reports available to staff with reporting access. Standard report data is for UD staff internal use only. It is not for re-distribution and UD staff are required to protect confidential student data. See PNPI guidelines and FERPA guidelines. Should you be contacted by an outside vendor for data, direct them to the Registrar's Office Reporting team.
Ad hoc requests for data can be submitted through the Data Request Form.
Security & Access
For information on accessing student records and schedule of classes data, select one of the sections below:
Academic advisor access (professional and faculty) is based on Student/Advisor assignments in UDSIS. Once a new academic advisor is assigned to a student in UDSIS, their access will be granted overnight.
To assign an advisor to a student in UDSIS and establish access:
- Submit the Amend Instructor/Advisor Table in UDSIS form to add the advisor to the list of eligible advisors for the department.
- After that form is processed by the Registrar's Office, assign the advisor to a student in UDSIS.
- Wait until the following day. An overnight process will grant the advisor access to UDSIS, Blue Hen Success, Stellic and other platforms used to advise students.
Instructor access in UDSIS is controlled by class instruction assignments.
To assign an instructor to a class for the first time:
- Submit the Amend Instructor/Advisor Table in UDSIS form to add the advisor to the list of eligible advisors for the department.
- After that form is processed by the Registrar's Office, assign the instructor to the class in UDSIS.
- Access will be granted by an overnight process and the instructor will be able to use the UDSIS Faculty Center.
Staff that require access to student or schedule of class data for their position should submit the UDSIS Access Request form. That request requires an explanation/justification of the need and will be routed to the individual's supervisor as well as the Registrar's Office for approval.
All access is granted on a need to know basis. Due to FERPA regulations, access will not be granted without a detailed explanation as to why requested access is required and supervisor's approval.
Staff with student records access in UDSIS can also access Stellic to view degree audits and student planner information.
In addition to student records access, assigned academic advisors can edit planner information on behalf of their students. Assigned academic advisors map over from UDSIS and appear as the advisor on a student’s homepage in Stellic. Departments are responsible for determining which individuals are appropriate to assign as academic advisor(s) and maintaining that information accurately in UDSIS.
For Graduate Programs and Undergraduate minor/certificate/course of study programs, Program Administrators have access to approve milestones, make exceptions directly on student audits, and/or approve received requests in established workflows. To add a new program administrator, remove a current program administrator, or replace a current program administrator with a new staff member please submit the Stellic Program Administrator Request Form.
