Update to UD data storage service changes

Initiatives underway to help UD manage institutional storage limits

As previously announced, UD Information Technologies (UDIT) is working on a data storage project in order to meet new storage limits set by both Google and Microsoft.

Many individuals who were above the maximum storage limit for these services have worked to reduce and migrate their data in order to stay within the established storage limits.

Additional initiatives are now underway to help UD manage its institutional data storage limits.

Exchange Online Archiving

As of July, all UD Microsoft Exchange individual and shared mailboxes have an automatic archiving policy set so that Exchange account items older than five years will be moved to the account’s online archive. Messages in online archives do not count against Exchange storage limits and are still accessible.

Azure Archive

Azure Archive Storage is a cloud-based service that is now available to request through TeamDynamix. It allows for data archiving at a low cost. Charges are based on usage.

Shared Storage sites

UD is also working on storage reduction efforts for shared storage locations (Google Shared Drives and Microsoft Teams/SharePoint sites). Within the next month, owners of any shared storage sites over their maximum storage limit will be contacted to reduce usage or to pay for additional space.

Google Photos

As Google Photos is not a core Google Workspace application, the University will begin disabling Google Photos on Oct. 1, 2024.

Before Oct. 1, individuals should transfer work-related photos to either their Google My Drive or a Shared Drive. Google Partner Sharing may be used to share and transfer non-work photos to a non-UD Google account.
