New Google and Microsoft Account Lifecycle Process

Removal of old accounts will support UD’s ongoing storage cleanup efforts

Due to storage changes by both Google and Microsoft, UD Information Technologies is implementing an account lifecycle process. This process will ensure that there is sufficient storage for active University educational, research and business purposes.

There are two parts to the Account Lifecycle process:

Part I: One-time cleanup efforts

To reduce the backlog of Google and Microsoft accounts owned by individuals who have left the University, UDIT will be initiating a one-time cleanup of these accounts that have not been accessed since 2021. This includes thousands of old accounts for individuals who left the University as far back as 2009.

These accounts will be removed starting in June 2024. All files located within these account’s My Drive/OneDrive will be deleted. To ensure that you maintain access to any necessary files associated with an account that will be deleted, follow the steps provided at the link below before June 2024 for each file.

Files located in a Google Shared Drive or in a SharePoint site will not be lost when old accounts are removed.

Part II: Ongoing cleanup efforts

This phase initiates the enforcement of the Account Lifecycle process in perpetuity. Any accounts that belong to individuals no longer associated with the University will be deleted after two years on a rolling basis.

To assist campus with identifying accounts that are at-risk for deletion, a label of “Deleting” has been added to the account name.

Note: Emeritus/Retiree accounts currently maintain a lifetime 'active' status in Google and are not affected by this process.
